1. 10 ways to improve your email

It often surprises me the number of emails I receive
that could be improved on. To make sure you're not sending
out those, I've put together a list of 10 things to help
you improve your email.
- Use the software the professionals use
In order to write professional email, you need
professional software. Eudora mail is the email
software of choice for professionals like Declan
Dunn, and of course me! ;)
Eudora is available for both Macs and Windows, and
is also far less vulnerable to viruses than Outlook
Express, Microsoft's email program, that ships with

- Spell and Grammar check your email
This may seem obvious, but you should spell check
everything you send. Eudora has automatic spell
checking, but that can't check your grammar.
Grammatical errors like the difference between
"its" and "it's" not are uncommon. "Its" is like
"his" or "her" and means that "it" owns something.
"It's" is short for "it is".
- Proof read your email at least twice.
I often get perfectly spelt emails that seem
confused about what they're trying say. Proof read
your messages to ensure they make sense, then
proof read them again.
- Break lines at about 65 characters, or around
10-12 words. Your email will be so much easier to
read, and it will have a more professional look.
Don't make your readers strain their eyes over long
lines, or force them to resize their email reader's
window, just to read your email. Make it as easy
and enjoyable as possible!
- Use descriptive and enticing subject lines.
You want your readers to actually open your email
right? Give them a reason to! Draw them in with a
powerful headline-style subject.
- Include a greeting at the top of your email.
Always include a "Hi Person's-Name" at the start
of your message. It's so much more personal than
simply stating the recipient's name, or not even
bothering with a greeting at all. email without
the greeting gives an unfriendly impression, which
is something you should avoid!
- Give a clear context for your message in the
first paragraph. People shouldn't have to read down
to the fourth paragraph before they get what you're
going on about. Include the specific quotation you're
talking about if your replying to a message, or
just state outright where your message is coming
from, and what it's about.
- Be polite.
You should be polite in general, but this goes
especially when dealing with people you want
something from! They're much more likely to oblige
if you're nice to them. Otherwise they'll do what
I would do in their place - ignore you.
- Queue your email.
Set your mail program to queue all messages
rather than send them immediately. That way you
can change your mind about sending those emails
that we all inevitably regret sending...
